Auto Reject Emails with Ashby

When you reject applicants in within Endorsed through the Reject button or through the Bulk Reject , Endorsed will change the stage of the applicant in Ashby to the Archived stage. Ashby (not Endorsed) will control whether or not an automatic email is sent depending on the Interview Plan activities and automations configured inside of Ashby.

According to the Ashby team, automatic emails should be sent within a few minutes of an applicant getting rejected / archived.

To ensure the emails are fully configured, ensure the following:

  1. Configure Rejection Reason for each Job: On the Job Manage page, ensure that your Rejection Reason is configured for that job. This is REQUIRED for Endorsed to both reject applicants in your ATS and for the ATS to trigger rejection emails.

  2. Verify Email Automations in Ashby for your Job:


    To confirm the automations are set up in Ashby correctly, do the following:

    1. Go to your Job in your Ashby ATS

    2. Click Interview Plan under Admin on the left side pane.

    3. Scroll down to Archived and ensure there is both the Send Email activity is configured AND the automation is enabled (there should be a lightning bolt icon there). Both of these are REQUIRED for automatic emails to be sent.

    4. Then click Modify -> Edit -> Automation. Do NOT configured to a personal email or the Acting User (default) and ensure that the Automate on Stage Entry checkbox is checked.

      Due to a restriction in Ashby, email automations cannot be triggered by Endorsed if the automations are configured to use a personal email. Instead, please configure your automations to use no-reply or set up a shared alias and configure that as the sender.

  3. Verify Emails are Working: Reject an applicant you are confident should be rejected in Endorsed. Then, click the View in ATS button in Endorsed. In roughly less than a minute, you should see the applicant is Archived for the job. In roughly 5-10 minutes, you should see an outbound email show in the Email section or the Feed section on the Candidate's page in Ashby.
