Interview Scheduling with Ashby

When you advance applicants in within Endorsed through the Advance button, Endorsed will change the stage of the applicant in Ashby to the Advancing stage you have configured in Endorsed, Ashby (not Endorsed) will control whether or not any activities or automations occur (emails, interview scheduling) depending on the Interview Plan activities and automations configured inside of Ashby.

In order to ensure your interview scheduling is configured correctly in Endorsed & Ashby, please do the following:

  1. Configure your Advancing stage in Endorsed to the same stage which you would like to have interview scheduling activities / automations triggered when applicants are advanced in the Job Manage page for your job.

  2. Add / Configure the Schedule Interview activity for the stage in Ashby

    1. Go to your Job in Ashby

    2. Go to your Interview Plan: Under Admin -> Interview Plan

    3. Under the stage you would like interview scheduling to be enabled for applicants, add a Schedule Interview activity (if you don't already have one)

    4. Configure the Schedule Interview activity. If you already have an existing activity, click Modify -> Edit

      1. In the Communication tab, select the Candidate Availability Email Template OR the Direct Booking Email Template (whichever that you plan to use) for which you want applicants to see. It is recommended by the Ashby team to use this field and NOT a separate email activity on the stage.

      2. In the Direct Booking & Candidate Availability tab, please ensure you set the Organizer to the correct person who will be confirming interview scheduling / timing. Due to a restriction in Ashby, this is necessary to ensure applicants see the recruiter / organizer name instead of Endorsed AI in their scheduling experience.

    5. Enable the email and scheduling to trigger automatically

      1. In the Automation tab, enable the Automate on Stage Entry checkbox. This will result in any stage changes automatically triggering the email to the candidate for scheduling the interview

      2. Select your Automation Type which can be either of the options

      3. Select the Send on behalf of to use the [email protected] option. Do NOT configured to a personal email or the Acting User (default) and ensure that the Automate on Stage Entry checkbox is checked.

        Due to a restriction in Ashby, automations cannot be triggered by Endorsed if the automations are configured to use a personal email. Instead, please configure your automations to use no-reply or set up a shared alias and configure that as the sender.
